A closed batch is not money in the bank

· 4 min read

It is easy for hotel reconciliation to stop one source too early.

You close the batch. The gateway returns success. The report shows the day's settled total. That total goes on the sheet, gets compared to the folio, and the day is called done.

The processor disagrees

Elavon's own Fusebox documentation states it about as directly as a vendor ever states anything: a successful batch response

does not indicate that transactions were funded properly or completely. The only way to confirm settlement funding is through your bank deposit information.

That is not a disclaimer buried in a footer. It sits under a heading called Post-settlement best practices, alongside the instruction to reconcile deposits against batch reports on a next-business-day cadence, specifically to reduce duplicate settlements and other problems in the transfer of funds.

Your processor is telling you that its own success message is not evidence of cash.

What this means for OTA reconciliation

It means the join has four sources, not three.

The PMS knows what you billed. The OTA knows what it kept. The gateway knows a card was charged. Only the bank knows you were paid.

Drop the bank and an entire class of problem becomes undetectable: the virtual card that authorised and batched cleanly and then never funded. Nothing in the PMS is wrong. Nothing in the OTA statement is wrong. The gateway report says approved. The money is simply not there, and no report you are currently reading is capable of saying so.

Two exception classes that only exist at the bank

Settled, not funded. A batch closed successfully and no deposit accounts for it. This is the one the gateway structurally cannot show you.

Deposit unallocated. Money arrived that no batch explains. Less alarming, equally important — it is usually the trailing half of a problem whose first half you already wrote off.

Both are next-business-day problems. Both are invisible to any tool that reads one source.

What we do with it

Bank ingestion is not a premium tier in CactusStay. It is required from day one, by file upload if that is all a property can supply, because the four-source join is the product and a three-source version of it quietly lies.
